Job Title: Technical Project Executive
Reporting to: Innovation Manager
Supervising/Managing: N/A

Primary Purpose:
The Technical Project Executive will report to the Innovation Manager, with accountability for ensuring the efficient and effective delivery of digital and event technology projects at the agency, from scoping to end-to-end delivery of the project lifecycle, including liaising with colleagues, suppliers, developers and clients and working on projects which will include standalone digital and event technology projects as well as projects that intersect within the wider context of events managed by the agency. The Technical Project Executive will help to establish processes, standards and best practice in the delivery of digital and event technology projects at TFI, supporting the Innovation Manager in developing TFI Groups digital and event technology products and services as a profitable revenue stream and in driving its’ outputs and managing its resources effectively. The successful candidate will ideally have some prior experience managing digital projects and liaising with suppliers and developers, as well as dealing directly with clients, however we are also keen to consider to less experienced candidates who are enthusiastic for a challenge and with practical knowledge of websites and the digital world.

Key Objectives:
• To ensure the effective and efficient delivery of digital and event technology projects, liaising directly with colleagues, clients, developers and suppliers to ensure profitable and timely delivery according to best practice in the field of technical project management, working under the direction of the Innovation Manager.
• To support the Innovation Manager in the creation of commercially viable project proposals, including researching of relevant suppliers and costings, inputting on effective pricing and budgets, and attendance at client pitches where required.
• To contribute research, knowledge and experience in the digital and technical sphere in support of the Innovation Manager in development of TFI Groups digital and event technology products and services

Primary Accountabilities:
• To be responsible for managing digital and event technology projects and their budgets with a profit focus and to achieve and where possible, exceed set targets.
• To be responsible for writing project scopes, functional specifications, estimating project costs, risks and assumptions as well as the timescales and resource requirements for the successful completion of the projects.
• To be responsible for the delivery of digital and event technology projects including customer liaison and delegate servicing (where applicable) according to business metrics set.
• To liaise with event delivery teams and to oversee the digital and event technology processes throughout the life of events, ensuring that best practice is followed.
• To help establish best practice in digital and event technology projects management, including brief taking, scoping, project milestones and providing technical guidance and support to delivery teams in processes, background and effective client management.
• To contribute to the continual monitoring and evaluation of all digital and event technology partners, developers and suppliers capabilities, strengths, weaknesses, performance, suitability and pricing, and to contribute to the forging of long term relationships through the successful collaboration on the delivery of projects, as well as continually reviewing alternatives in order to maintain the agencies knowledge and flexibility to deliver on unexpected briefs when received.

Secondary Accountabilities:
• To proactively seek opportunities to enable digital and event technology products and services to be sold to clients in order to maximise revenue.
• To ensure TFI Group stays at the cutting edge of digital and event technology, to actively work to innovate the processes used by TFI Group, and to work with the Innovation Manager to ensure these are accurately and profitably sold to clients.
• To liaise with support teams of digital platforms that TFI Group uses in support of the management of events, and to provide technical guidance and support to Delivery teams in the correct use of these platforms.
• To supervise the continuous development of digital and event technology processes, ensuring the relevant teams (such as profit centre leads, budget holders, KAM and Sales/Business Development) are aware of any new changes and to seek ideas and suggestions from these teams in line with set business objectives.
• To liaise regularly with the Innovation Manager to ensure that the profit centre is achieving the targets and objectives set.
• To service clients by phone or email and to oversee digital and event technology continuing support (where necessary).

Ideal skills and experience:
• Knowledge of Digital Project Management with experience in a web development environment, delivering a range of digital projects.
• Working knowledge of web and digital technologies, including websites and app design and development.
• Experience of writing functional and technical specifications as well as experience of creating detailed sitemaps and wireframes.
• Ability to produce budgets and project plans, manage workload and keep production on-track within timeline and budget.
• Ability to handle and prioritise multiple projects, pushing each project along, keeping everything on track.
• Experience of working directly with clients.

Desirable skills and experience:
Knowledge and experience of digital and technology in the events sphere, including event apps, live audience interaction technology, online registration platforms and databases, event related data management and registration technology and processes

Job Title: Project Executive, Event Management
Reporting to: Project Manager
Supervising/Managing: Intern

Primary Purpose:
To support the Project Managers and Project Directors in the successful delivery of events and conferences across a variety of business sectors, ensuring customer satisfaction and profitability throughout the event cycle.

Key Objectives:
• To be customer-focussed at all times.
• To work on multiple projects at one time, reporting to more than one person.
• To assist in the delivery of events and conferences including delegate management, customer liaison, proposals, venue and supplier research and administration.

Primary Accountabilities:
• To assist in pre-event preparation and support the Project team(s) with administrative tasks such as mailings, speaker confirmations and to prepare onsite office stationery
• To conduct research for conferences and events including venue searching, entertainment and other supplier support services.
• To participate in brainstorming for proposals and to assist in the production of proposals and presentations.
• In conjunction with line managers, to negotiate and obtain quotes from airlines, DMC’s, hotels and other suppliers, according to deadlines set.
• To co-ordinate hotel room blocks and to manage allocations and release dates as per the hotel contracts.
• To be responsible for speaker and exhibition management within the context of each event e.g. speaker liaison, travel arrangements and other queries that may arise.
• To provide support to other individuals across other TFI Group channels on a specific task-by-task basis, under the guidance of the Director of Projects, TFI Group.

• To produce delegate badges, joining instructions and venue information packs according to timescales set.
• To attend supplier presentations, industry seminars and selected networking events.

Job Title: Project Manager, TFI

Primary Purpose:
• To be accountable for the management and co-ordination of project teams and the timely delivery of TFI projects which include services such as Sponsorship, Marketing, DMS and Event Management.
• To understand the company’s full service offering and to prove and support the TFI proposition by demonstrating to clients how to make their audiences better engaged.

Key Objectives:
• Alongside the Project Director, maximise revenue, minimise costs, increase margins, to be involved in the setting and successful achievement of financial targets and to maintain high quality standards in the delivery of projects, as agreed with the Project Director and Client Services Director
• To work closely with project team members to ensure all projects are appropriately sold and delivered in line with client objectives.

Primary Accountabilities:
• To have day to day responsibility for the client relationship and communication relating to each project to ensure the smooth running of every project.
• To work closely with the Project Director in the understanding and delivery of client objectives and requirements.
• To be responsible for the successful planning, research and management of assigned projects according to agreed client specifications, budgets, critical paths and timescales.
• To monitor the teams delivering the services for assigned projects within agreed budgets and cash flows, ensuring their accurate and timely provision according to client specifications.

Job Title: Project Director, TFI Group
Reporting to: Operations Director

Primary Purpose:
• To be responsible for the successful management of a clients’ portfolio of events ensuring high quality of delivery of all services contracted for the specific account.
• To lead and manage the account team to ensure their accountabilities are achieved against targets set.
• To effectively manage the account team day to day and set the operational processes required that ensure the account retention and client satisfaction
• To liaise with the Operations Director on account resources so all projects are managed effectively ensuring the smooth-running and profitability of the function.
• To understand the company’s full service offering and to prove and support the TFI proposition.
• To event manage the more complex and high-profile events on the account

Key Objectives:
• To ensure client retention and high levels of client satisfaction through the effective day to day management of the account team ensuring operational processes are followed, standards of delivery are high and clients’ expectations exceed.
• To act as a central point of communication with the main client in all operations aspects of the account supporting the Account Director
• To support the Account Director in the retention and developing of the account.
• To identify (with support from, and in conjunction with, relevant client relationship holders) the core level of services required in order to price them appropriately so that revenue is increased and targets achieved.
• To work closely with other colleagues to sell and deliver appropriately priced services in order to maximise the profitability and revenues generated in the account.

Primary Accountabilities:
• To regularly communicate with specific clients and successfully plan on the research project-manage and the delivery of projects to agreed client specifications (budget and timescale set)
• To maximise profitability of each project by leveraging supplier opportunities and identifying up-selling opportunities
• To determine appropriate revenue forecasts and ensure all costings, invoicing and file management is properly maintained.
• To have full financial responsibility and accountability for the accounts portfolio of events (including budgets), supervising their management (from confirmation through invoicing to reconciliation) to ensure that agreed margins and profitability is maintained.
• To liaise closely with the Account Development Team to facilitate the management and reinforcement of client relationships pre and post event in order to ensure that all client opportunities are being identified.
• To lead and manage a team to ensure their accountability against key objectives and financial targets set - via project plans and meetings/discussions.
• To be responsible for the day-to-day management of the account team (including holidays and sickness absence, appraisals, training, mentoring, recruitment, performance management, staff discipline and other HR areas as appropriate) in conjunction with the Operations Director and in accordance with Company policies and procedures.
• To project manage the complex events and high-profile events of the account from initial to onsite management, co-ordinating the roles of the events team and driving the project efficiently through the coordination of resources and the development of more efficient systems and processes.
• To become closely aligned with KAM, supporting and interfacing with Sales/Business Development in order to support the business objectives.
• To monitor the co-ordination of resources, systems and processes within account (measuring its performance against targets set)
• To reconcile all projects timely (from a financial perspective) and liaise with Finance who will support on the financial management of the account.

• To attend supplier presentations to enhance product UK and Overseas knowledge; build strong supplier partnerships and keep updated of industry developments
